WellCollar FAQ
Straight answers on pricing, setup, supported states and how WellCollar works in the field and the office.
Getting started
What is WellCollar?
WellCollar is back-office software for independent oil and gas operators. It puts production, compliance, field operations, owners, revenue distribution and joint interest billing (JIBs) in one web-based system, built by a working operator and priced for independents.
Who is WellCollar for?
Independent operators with roughly 20 to 1,000 wells, usually run by an owner, a bookkeeper and a few pumpers. If your office juggles an accounting program, a pumper app and spreadsheets, WellCollar replaces all three.
Which states does WellCollar support?
Texas, Ohio, Pennsylvania and West Virginia. Texas support is lease-based, the way Texas reports. See WellCollar for Texas operators.
How does onboarding work?
Before your first login, we build your well portfolio into the software: well records, locations and history. Day one starts with your operation already in place, not an empty screen. Texas operators can be loaded from public records using just their operator number.
Has anyone switched from Pivoten?
Yes, we did. Green Collar Energy moved off Pivoten: wells, owners and each owner's revenue and expense interests came over and balanced to 100% on every well. If you're on Pivoten, talk with us about your data and we'll tell you honestly what a switch would involve. What we learned.
Is there a demo?
Yes. The home page has one-click demo companies you can open right away, no sign-up needed.
Field and compliance
Can my pumpers use WellCollar in the field without signal?
Yes. Field entry is built for the truck: one screen per lease for gauges, tickets and pressures. It keeps working offline and syncs when you're back in signal.
Does WellCollar build the Texas monthly production report?
Yes. It builds the report lease by lease from your run tickets, gauges and gas sales, flags problems before you download, and exports the electronic file ready to upload.
Does WellCollar do the Ohio annual production report?
Yes. WellCollar builds the annual production report for all your wells as one bulk file, instead of typing well by well.
What happens when several wells share a tank?
Oil and water hauled from a shared tank are split as evenly as possible across every well that feeds it, the same way in every report.
Pricing
How much does WellCollar cost?
Core is $4 per well per month with a $199 monthly minimum. Complete, which includes every module, is $7 per well per month with a $499 minimum. On Core you can add Owners & Revenue (+$3 per well), Land & Leases (+$1 per well), Disposal (+$50 per disposal well) and Acquisition Scout (+$99 a month). Wells above 300 are billed at 25% off.
One-time onboarding is $750 up to 25 wells, $1,500 up to 100 and $3,000 up to 300, quoted above that.
Do you charge per user?
No. Every plan includes unlimited users, with roles for admins, office managers and pumpers. Read-only viewer accounts for your accountant, partners or attorney are free too.
What's in Core, and what are the add-ons?
Core covers the field and compliance side every operator needs: wells, map, offline field entry, run tickets, gauges, gas sales, tanks, state production reports, the filing calendar, violations and work orders. Owners & Revenue, Land & Leases, Disposal and Acquisition Scout are add-ons, and Complete includes all of them.
Is there a long-term contract?
No. WellCollar is month-to-month.
Is there an AI phone attendant?
Yes. The AI Phone Attendant answers your own local number 24/7, greets callers as your company, finds the well they're calling about and checks it for an open work order. Every call is logged in WellCollar and a summary email goes to the people you pick. Phone Attendant is $149 a month with 200 minutes, and Phone Attendant Pro is $249 a month with 500 minutes and adds new work orders from callers and an emergency action plan. It's sold on top of Core or Complete, not included in Complete, or on its own: Attendant Only is $199 a month ($299 with Pro) for operators who keep other software such as Pivoten. Extra minutes are $0.25 a minute.
About us
Who built WellCollar?
WellCollar was built by Green Collar Industries, a veteran-owned operator in Coshocton County, Ohio. It runs Green Collar Energy's own wells and disposal wells every day: the same software, the same screens.
